I sometimes hear someone say they have never kept books. It is almost never because they are careless. I think it is because the first step gets described as something far too large. Choose your categories, close the month, make the totals agree. Put it that way and the starting day is never today. So today I want to write down the smallest possible way to begin. When money moves, write one line the same day.
One line means one line. The date, who it was with, how much, what it was for, and whether it came in or went out. That is enough. A paper notebook, the notes app on your phone, or a single spreadsheet all work. You can change tools later. The only thing to settle at the start is to keep everything in one place.
There is a reason I wrote the same day. What disappears later is not the amount, it is the reason. The amount survives in your wallet and on your statement. Why the money moved survives nowhere. After 3 days you only feel as though you could remember it, and after 1 week you start to doubt your own memory.
I was no different. When I started the company I did my own records in one go at the end of the month. Doing it taught me that this was not recording, it was remembering. Holding each receipt, one at a time, trying to work out who I was with that day and why. Batching a month makes each slip take longer, and some of them will always be beyond recall. The ones beyond recall mostly became miscellaneous. A record full of miscellaneous tells you nothing when you go back to it.
A rough line kept for 1 year is worth more than a perfect ledger kept for 3 days. That is not a point about willpower, it is a point about how much you can see. Three days of records show you nothing. A year of rough records shows you where your money is going.
After 1 month, the money is usually leaving from somewhere other than where you expected. Perhaps your purchasing is heavier than you thought, or perhaps it is the small daily payments adding up. This is not accounting knowledge, it is knowing your own business. Once you know, you can decide for yourself what to change.
After 1 or 2 months, more questions become answerable. Is this delivery arrangement worth keeping. Should you keep stocking this item. Why is there less cash on hand than last month when you were busier. Without a record, all of those get decided by instinct. Instinct is sometimes right, but you never find out whether it was.
Along with writing, keep the paper. You do not have to copy all of it out. For receipts and invoices it is enough to photograph them the moment you are handed them. In the Indonesian climate, the print on a receipt fades sooner than you expect. A photograph does not fade.
KAZENA Books, which we build, is a tool for making this part easier. Upload a receipt, an invoice or a bank-statement CSV, and the AI reads it and proposes the category, the amount and the tax. All you do is check it and approve it. We left the approving in human hands because the reading is sometimes wrong, and if that step is automatic the errors pile up quietly.
Once the lines exist, the rest becomes arithmetic. The statement of what you earned in 1 month, and the ledger shape your accountant asks for, are built automatically and export to CSV or PDF. But no tool can produce a line that was never written. The AI cannot read a receipt you never photographed. So the first thing to do is still to write that one line.
Do not get stuck on what to call the category. Whether this is supplies or miscellaneous can be fixed later. What cannot be fixed later is the memory of what you paid for. So write it in your own words. Ice for the stall, or fuel for the delivery rider, is fine. Names can be tidied up afterwards.
A short word on tax. I am not a tax accountant and not a lawyer, so please confirm any filing or payment decision with a professional. What I can say is that whichever rules you end up under, the starting point is the same. When, with whom, how much, and what for. You cannot build a correct filing out of nothing.
Here is the one thing for today. Before you finish work today, write one line for the money that moved today. If none moved, write that none moved. That is a record too. Tomorrow, write the next line. If you can keep that up for 1 week, the method suits you. If you cannot, the place you are writing may be too far away. Move it somewhere within reach.
Tell us what you think
How the KAZENA apps feel to use, what we should fix, features you wish existed — if you run a small or medium business or work freelance in Indonesia or the Philippines, your voice is exactly what we want to hear. Messages in Bahasa Indonesia or English are answered by teammates who know your market from the inside. KAZENA Books is already set to launch in the Philippines and Indonesia — and if your company would like to bring it to other countries as a partner, or is interested in acquiring the system, we would love to hear from you too. We also take on new system development. We are a small team, so we cannot always start right away — but what we build carries made-in-Japan quality and stays close to how business really works here, one project at a time.
